    VENDOR RULES & REGULATIONS

    HOLD HARMLESS AGREEMENT

    The Applicant (“Vendor”) agrees to indemnify and hold harmless CWE Events, WDO Entertainment, the Christian Women’s Expo, the event organizer, and the show venue/location staff and management from any and all claims, demands, suits, damages, liabilities, losses, expenses, or attorney fees arising from any action or failure to act by the Vendor or its employees, representatives, agents, or assignees. This includes, but is not limited to, claims involving property damage, loss, injury, harm, or death.

    Vendors are strongly encouraged to carry their own insurance to protect against loss, damage, liability, or claims. The Vendor further agrees that CWE Events/WDO Entertainment/Christian Women’s Expo/event organizer and the show venue shall not be held responsible or liable for incidents caused by fire, water, weather, natural disasters, utility disruptions, or any other acts of God or unforeseen accidents.

    PAYMENT REQUIREMENTS

    All payments are NON‑REFUNDABLE. Booths will not be secured without full payment and all required information. All balances must be paid by the agreed‑upon date between the Vendor and the Christian Women’s Expo representative.

    By submitting payment via credit/debit card, the Vendor agrees not to dispute or charge back the transaction for any reason. All sales are final.

    If a Vendor submits an application with payment and later cancels—at any time and for any reason—no refund will be issued. By agreeing to the Vendor Terms (online or via email), the Vendor authorizes the Christian Women’s Expo to charge the full payment, deposit, or remaining balance as applicable.

    A fee will be assessed for any returned or declined payments.

    Attendance Disclaimer: CWE Events/WDO Entertainment/Christian Women’s Expo makes no guarantee regarding attendance numbers or sales results. Show management reserves the right to change event dates or venues if necessary. Vendor acknowledges that no attendance projections or sales expectations have been promised.

    CANCELLATION POLICY

    Vendor cancellations must be submitted in writing. Verbal cancellations are not accepted. A Vendor who cancels after submitting payment is not eligible for a refund.

    Show management reserves the right to cancel a Vendor’s participation for violation of rules or regulations, without refund.

    A $40 fee applies to all returned checks or electronic payments.

    VENDOR SET‑UP & MOVE‑OUT

    Detailed instructions for set‑up and move‑out will be emailed to the address provided on the Vendor Application.

    SALES TAX

    Where applicable, Vendors must hold all required licenses and are responsible for collecting and remitting all taxes and fees.

    VENDOR REGISTRATION

    All Vendor staff and representatives must register and obtain an Exhibitor Badge before entering the show floor. Badges must be worn during set‑up and all show hours. No exceptions.

    Booth assignments are made on a first‑come, first‑served basis and/or at the discretion of show management.

    NON‑DISPARAGEMENT

    Vendors agree not to make negative, defamatory, or profane statements—written or verbal—about CWE Events, WDO Entertainment, the Christian Women’s Expo, event organizers, staff, or attendees.

    This clause is a material term of this agreement. If violated, CWE Events/WDO Entertainment/Christian Women’s Expo is entitled to liquidated damages equal to 25% of the Vendor’s total booth rental amount, representing harm to reputation, standing, and revenue.

    LICENSED SERVICES (Massage, Hair, Culinary, etc.)

    Any individual providing massages must hold a valid City or County license. Any hairstylist, makeup artist, chef, or similar professional performing services must hold all required licenses as mandated by city/state regulations.

    All fines imposed by authorities are the responsibility of the Exhibiting Company.

    Non‑profit Vendors must submit an up‑to‑date license to show management.

    VENDOR RESPONSIBILITIES

    Vendor booths must remain neat, attractive, and professionally displayed during all show hours.

    Vendors are responsible for protecting venue property. Nothing may be taped, stapled, nailed, or attached to facility surfaces. Any damage caused by the Vendor or its staff will be billed to the Vendor.

    Prohibited: Paint and spray cans.

    FLAMMABLE MATERIALS

    No combustible decorations or draping may be used. All materials must be flame‑retardant in accordance with local fire ordinances.

    BOOTH ARRANGEMENT & CONDUCT

    • All displays must remain within the rented booth space.

    • Vendors may not sell or solicit in the aisles.

    • Booth designs must not obstruct neighboring exhibits.

    • Vendors may not exceed the 10‑foot booth depth.

    • No exhibit may lean on or rest against another booth.

    BREAKDOWN PROCEDURES

    Vendors may not begin dismantling booths before the show officially closes, except in an emergency. Vendors must wait for show management to confirm that the venue is fully cleared of attendees before opening overhead doors or using carts, wagons, or power jacks.

    ELECTRICAL SERVICES

    All electrical needs must be arranged directly with Agricenter International.

    PARCELS & SHIPMENTS

    All shipments must be coordinated directly with Agricenter International. Vendors are responsible for any fees associated with holding, storing, or delivering materials to their booth.
